A project status report should save leadership time, not consume it.<\/p>\n
If someone has to read several pages, join another meeting, or ask the Project Manager for clarification just to understand where the project stands, the report is not doing its job.<\/p>\n
For me, a useful status report should answer five questions quickly.<\/p>\n
Leadership should be able to understand the overall health of the project within seconds.<\/p>\n
That normally means schedule, scope, budget or commercials where relevant, key dependencies, and overall delivery confidence.<\/p>\n
A RAG status helps, but the colour alone is not enough.<\/p>\n
Instead of simply writing:<\/p>\n
Schedule: Amber<\/strong><\/p>\n I would explain what is behind it:<\/p>\n Schedule: Amber \u2014 Design approval is five working days behind plan. The implementation date remains achievable if approval is received by 15 October.<\/strong><\/p>\n The important part is not the colour. It is what the colour means for delivery.<\/p>\n I try not to repeat the same project information every week.<\/p>\n Leadership normally already knows the plan. What they need to understand is what has moved since the previous update.<\/p>\n For example:<\/p>\n A good status report should make these changes easy to spot.<\/p>\n I would not copy the full RAID log into a management status report.<\/p>\n The detailed RAID log is useful for the project team. Leadership needs visibility of the few items that could materially affect the outcome.<\/p>\n For each important risk, issue, or dependency, I try to make three things clear:<\/p>\n For example:<\/p>\n SIT depends on the external team completing interface deployment by 18 October. There is no schedule impact yet, but there is currently no contingency if this date slips.<\/strong><\/p>\n That gives management something useful to watch.<\/p>\n This is probably one of the most important parts of the report.<\/p>\n If the project is waiting for an approval, funding decision, scope direction, or management intervention, I make it visible rather than hiding it inside a paragraph.<\/p>\n For example:<\/p>\n Decision required:<\/strong> Approve revised implementation approach If leadership has to search through the report to understand what they need to do, the report has failed.<\/p>\n I normally close the status with the few activities that matter most in the next reporting period.<\/p>\n Not every task from the project plan.<\/p>\n Just the important ones: complete an approval, start testing, resolve a critical dependency, close a commercial action, or prepare for deployment.<\/p>\n This also gives leadership a simple reference point for the next update.<\/p>\n Before sending a status report, I find one test useful:<\/p>\n Can a senior stakeholder understand the real state of the project in one minute?<\/strong><\/p>\n They should be able to answer:<\/p>\n Where are we? What changed? What could affect us? What do you need from me?
